Unseen’s Administrative Assistant will be responsible for several tasks such as communicating with key stakeholders (written and verbal),  filing, scheduling, coordinating and prepping for meetings, and working on other special projects. This position will work with highly confidential and sensitive information. As the Administrative Assistant impeccable writing and communication skills are essential.  Additionally,  you will be expected to have a high level of executive presence, a willingness to learn, resiliency, and tremendous resourcefulness. 

The role of the Administrative Assistant at Unseen is to provide administrative support direct to the CEO in the following ways:

  • Maintain Confidentiality: financial data, donor data, and the work of Unseen are among those items included under highly sensitive and confidential nature. The Executive Assistant must maintain confidentiality in these matters.
  • Calendar Management: scheduling and appointments, coordinating meetings, events, and conferences on CEO’s calendar and across multiple donor and staff calendars.
  • Corporate Communication: Regular scheduled communication will consist of providing scheduled updates to various corporate supporters of Unseen. This will require writing and editing in an effort to customize communication for the corporations the communication is shared with.  Additionally, scheduling video production shoots and ensuring timely delivery to all corporate sponsors and donors will be required.
  • Correspondence: The executive assistant is in direct contact with donors, board members, vendors, staff, and various contacts of the CEO. Executive presence and excellent communication skills are required, as correspondence will formulate a large portion of the executive assistant’s responsibility.
  • Board Meeting Report Management: This position will coordinate with Unseen leadership and board assistant to acquire reporting information for the board, and work with the CEO to complete and submit reports, following policy governance structure, to the board by their due date.
  • Meetings: Attending and facilitating meetings along with the CEO as needed, including regular 1:1 calls to keep the CEO apprised of projects, updates, progress toward goals, etc.
  • White Space Management: Keeping paperwork, administrative duties, general administrative upkeep, etc. managed and up-to-date will keep white space on the CEO’s calendar, which is critical to the role and function of the Administrative Assistant.
  • Special duties:  Assisting the CEO in putting out fires as they come up in the office, with scheduling conflicts, surprise requests, and other special requests can also be expected.

Supervisory Responsibility: This position has no direct supervisory duties, though management of projects includes directing project related activities to team members, including outside consultants and contributors.

Work Environment: Unseen has a work from anywhere policy. If in office, it is a shared space layout in Fargo, ND. Job includes possible occasional overnight travel.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus.
